The Opportunity

This position plays a key role in achieving efficient administrative operation of the French subsidiary. This versatile position involves the ability to take on tasks of various skill levels ranging from data entry to negotiating service contracts. The candidate must be able to work as a part of a team and also work autonomously, sometimes required to make quick and appropriate decisions. Our business activity level varies throughout the year; we expect the candidate to understand they may have to adjust their working pattern accordingly

  About You

The Sales Assistant will ideally have the following skills and attributes:

  • BAC+2 Commerce, vente / BTS Assistante de gestion
  • Several years’ experience working as a sales administrator.
  • Experience with shipping goods inside and outside the EU
  • Experience of dealing with customers in all situations.
  • PC skills: Word and Excel. knowledge with ACT and NAVISION would be an advantage.
  • Language Skills: French and English. Spanish would be an advantage.
  • Key Responsibilities for the Sales Assistant

  • Sales Administration using NAV ERP or similar tools: Collaborate with sales team to generate quotes. Follow-up of sales to customers, from order entry to invoicing. Work with the UK Orders team to ensure their order entry is completed correctly; check the various documents issued by the production site are correct; in the case of an error, inform the UK orders team immediately. Follow the delivery schedule; this includes contacting the UK team if and when required. Inform the carrier to ensure the consignment is collected on time and delivered to the correct address. Liaise with the customer or OEM/distributor, to ensure the system is delivered to the correct place on a suitable date. Liaise with the Service team to ensure they are aware of the delivery so the installation can be scheduled. When invoices are placed on an electronic payment platform, check they have been accepted and follow their progress as they pass through to process. Keep the finance department aware of their status. Each Friday morning, collaborate with the finance department to ensure the weekly report (order entry and invoicing) is correct. Communicate the published tenders (BOAMP) to the sales team on a daily basis. Manage the treatment of public tenders in collaboration with the sales team. Manage the Demo stock. Using the forms provided, maintain an up-to-date list of demo systems in the field, inform the division head office and finance department when system are sold, and where they have been sold. When sold or send to another OI Office, demo systems should be removed from the ERP. Update the software tools provided to ensure reports can be generated easily by the local manager.
  • Service Support Occasionally (during holiday, sickness and peak periods) the candidate will need to help with Service quote generation, order processing and invoicing etc.
